Your information, explained simply
Erskine YFC 2012s uses this website to organise youth football and keep players and their families informed. We are responsible for the personal information we collect through this website. Essential session cookies are needed to stay signed in. Website, video and account-linked analytics are optional.
If you are a player: your coaches can see the information needed to run the team. Your linked parent or guardian can see your attendance and feedback that a coach shares with your family. Account analytics tell authorised administrators how signed-in members use pages and videos.
Information we collect and why
- Accounts: names, email addresses, account type, protected password hashes, approval status and links between family accounts and players. These allow us to manage access and communicate with you.
- Team records: player names, shirt numbers, match goals, awards, selections, attendance, availability replies, transport requests and coach feedback. These support team organisation and player development. Please avoid adding medical details or other sensitive information to free-text notes; contact the coaches directly where needed.
- Service records: successful sign-ins, recent account access, password-reset records, email preferences, delivery records and staff audit history. These help operate, secure and support the service.
- Account analytics: pages visited, navigation sequences, successful availability submissions and video opens, plays and approximate viewing time. This activity is linked to the signed-in member account so authorised administrators can understand how members use the site.
Information comes from you, linked family accounts and authorised club staff. Match recordings and clip details come from Veo. We need account details to provide a member account; you can browse public fixtures and results without one.
Our reasons for using information
We use account, team, service and account-analytics records for the operation of the signed-in member service, taking particular care with children's interests and rights. Where we need to meet a legal obligation, we retain the relevant information for that purpose. We do not use website analytics to make automated decisions about team selection or player development.
Who can see it
Public visitors can see fixtures, results, team statistics and information deliberately published for a match. Named match details and footage on this site require an approved account. Team sheets follow the club's existing publication rules. Private match notes remain staff-only. Coach feedback is shared with linked family accounts only when a coach chooses to share it.
Authorised staff can access the records needed for their role. Named website journeys are restricted to administrators and superadministrators. Our hosting and email services process information to provide the website and deliver messages. We do not sell personal information or use advertising trackers.
Veo footage and external services
Match footage and thumbnails are hosted by Veo and its content-delivery providers. Opening footage can send technical connection information, including your IP address, to those providers. Their own privacy information applies to their services. The site imports only footage published as public on Veo; restricting access on this website does not make the original Veo recording private. Speak to the club about filming permissions or removing footage.
Venue directions open an external map service when you choose the link. The league table is fetched by our server from the league provider. Fonts are hosted on this website.
Cookies and your choices
We use the essential erskine_member cookie for sign-in and form security. It lasts for 30 days after your last visit so you can stay signed in when you reopen the site. Logging out ends your sign-in session; changing your password invalidates your saved logins. Log out on shared devices. Privacy choices are saved against the approved member account and follow it across devices. A linked staff role only adds staff features: it does not bypass member approval or privacy choices, and its website activity is recorded under the same member account. Staff previews of another account remain excluded from that member’s analytics.
You can use an approved account and watch footage without allowing analytics. No optional account analytics are collected until you choose the relevant categories. A material change to these categories requires a new choice.
How long information is kept
Account, team and account-analytics records are retained indefinitely as part of the club record, unless the club decides they are no longer needed or a valid request requires a different outcome. Password-reset links and request-throttling records are temporary security information and expire automatically.
Account deletion removes linked analytics, but relevant staff audit records and protected backups may remain for their separate purposes. Requests are reviewed individually. We do not promise immediate erasure from every backup.
Your rights and how to contact us
You can ask for access to your information, correction, erasure, restriction or, where applicable, a portable copy. Some rights depend on why we hold the information. Contact team@erskineyfc.co.uk; parents and guardians can help children exercise their rights. We may need to verify your identity before releasing information.
Your right to object: you can object to our use of information based on legitimate interests. Email the club with your request so we can consider your circumstances.
You can also raise a concern with the Information Commissioner's Office. We update this notice when the website's use of information changes.
